Between the end of the speeches and the point where people decide whether to stay.

Up to that moment the evening runs itself. There is a drinks reception, there is food, there is a programme. Then the formal part ends, the lights come up slightly, and the room has to decide what it is now. Without something to do, it fragments into the groups people arrived in and starts thinning out within twenty minutes.

A hosted table changes that calculation because it gives people a reason to stand somewhere specific with colleagues they would not otherwise approach. The croupier does the social work: explains the layout, keeps the pace up, pulls a quiet guest into the next hand. Nobody has to be organised into anything.

It also solves the mixed-seniority problem that defeats most other entertainment. A director and a first-year analyst can stand at the same roulette table and both be beginners, because neither of them does this for a living.

The evening

Where the tables sit in your run sheet

A typical 200-guest year-end function, with the formal programme left where you put it.

  1. Load-in

    Crew arrives, tables are built and dressed, lighting is set, and the floor plan is walked with your venue contact.

    Tables open as guests arrive. Hosts run slow teaching hands, which is how the nervous half of your room becomes confident.

    Tables go quiet for speeches, dinner service and awards. Crew stays on the floor; nobody packs up.

What procurement and HR usually ask

Will our compliance team have a problem with this?

They rarely do, once they have the terms in front of them. The short version is that no guest can stake money, buy chips or receive anything of monetary value, so the evening is not gambling under any reading — it is themed entertainment with props.

We send the written limits before you sign, in language a compliance reviewer can forward without rewriting. If your organisation has a specific policy wording it needs mirrored, tell us and we will work to it.

Can the tables run during speeches and dinner?

They can, but we usually advise against it. Tables competing with a speaker annoy both. The pattern that works is a teaching stretch as guests arrive, a pause for the formal part of the evening, then open play afterwards — which is also when people most need something to do.

How many hosts do we need for 200 guests?

For 200 guests we would normally propose five or six tables with a host on each, plus a floor lead. The ratio that matters is not hosts per guest but how long somebody waits to get into a game — past about two minutes, people wander off and do not come back.

The exact crew count goes on your quote, and we will tell you if we think you are buying one table too many.

Do you work with our existing AV and catering suppliers?

Yes, and it goes better when we talk to them directly before the day. We will take a call with your AV supplier about power and sightlines, and with your caterer about service times, so that the first conversation is not happening in a corridor at 17:00 on the night.
