2. What we collect
2.1 Information you give us through the enquiry form
The enquiry form is the main way we collect personal information. It asks for exactly four things:
- Name — so we know who we are writing back to.
- Phone number — so we can call you about the enquiry.
- Event type — which format you are asking about.
- Event date — so we can check crew availability.
The form also records that you ticked three required confirmations: that the event is for adult participants only, that you agree to this Privacy Policy, and that you understand the service does not include real-money gambling, betting or cash prizes.
We do not ask for an email address, a postal address, a date of birth, payment details or any identity document on the form. We do not ask for sensitive information of any kind, and you should not send it to us unprompted.
2.2 Information you give us by phone or email
If you call or email us, we will hold whatever you choose to tell us about your event — typically a venue, a guest count, a floor plan and a billing contact once a booking is confirmed. Please do not send us personal information about your guests. We never need a guest list.
2.3 Information collected automatically
Our hosting provider keeps standard server logs for security and reliability. These normally include the IP address making the request, the date and time, the page requested, the referring page and the browser user-agent string. These logs are a technical necessity and exist whether or not you consent to cookies.
If — and only if — you consent to analytics or marketing cookies, additional information about your visit may be collected as described in sections 6 to 8 and in our Cookie Policy.
2.4 Spam protection
The enquiry form includes a hidden field that visitors never see and a check on how long the form was open before submission. Neither collects personal information about you; both exist to discard automated submissions.
3. Why we use it
- Answering your enquiry
- To call or write back with a quote, to check availability for your date, and to discuss your room and format. This is the only purpose for which we use form data.
- Delivering a booking
- To plan, schedule and deliver your event, including sharing a run sheet with your own venue or caterer where you have asked us to.
- Record keeping
- To keep records of quotes issued and bookings delivered, as any business must.
- Site security and reliability
- To keep the website working, investigate faults and defend against abuse of the enquiry form.
- Measurement, with your consent
- To understand which pages are useful. Only if you allow analytics cookies.
- Advertising measurement, with your consent
- To measure whether our advertising works. Only if you allow marketing cookies.
We do not use your information to build a marketing list, to profile you, to make automated decisions about you, or to sell or rent to anyone. We do not send marketing emails or texts.
4. Consent and legal basis
Under PIPEDA we rely on your consent to collect, use and disclose personal information, and we are required to make the purpose clear before you give it.
- Express consent covers the enquiry form. You tick a box confirming you agree to this policy before submitting, and the purpose is stated next to the form.
- Express consent also covers analytics and advertising cookies. These are off until you switch them on, and nothing is pre-ticked.
- Implied consent covers the minimum needed to operate the site and to reply to you through the channel you used to contact us.
You can withdraw consent at any time, subject to any legal or contractual records we have to keep. Withdrawing consent for cookies takes effect immediately through Change cookie settings in the footer. Withdrawing consent for us to hold your enquiry means we can no longer act on it.
5. How long we keep it
- Enquiries that do not become bookings
- Up to 12 months from your last contact with us, then deleted. We keep them this long because event enquiries commonly resurface a season later.
- Enquiries that become bookings
- For the duration of the booking and then as long as our business, tax and insurance obligations require.
- Server logs
- As retained by our hosting provider for security purposes, typically a short rolling window.
- Analytics data
- Only where you consented, and subject to the retention configured in the analytics tool. See the Cookie Policy.
- Your cookie choice
- Stored in your browser on your own device until you clear it or change it.
The form itself does not write your details to a database or a file on this website. By default they are emailed to [email protected] and held in that mailbox. Nothing you type is stored in the web session after the message is sent.
6. Cookies and similar technologies
We use three categories, and only the first is active before you choose:
- Essential — strictly necessary. These remember your cookie choice, keep the enquiry form’s security token valid, and protect the form against abuse. They never enable analytics or advertising storage.
- Analytics — off by default. Measures how pages perform. Controls
analytics_storage. - Marketing — off by default. Advertising measurement, remarketing, conversion tracking and ads personalization. Controls
ad_storage,ad_user_dataandad_personalization.
No analytics, marketing or advertising cookie is set before you give consent. Consent is never inferred from scrolling, from closing the banner, or from moving between pages. You can accept all, decline, or customise your choice, and declining is as easy as accepting.
To change or withdraw your choice later, use Change cookie settings in the footer of any page. Full detail is in the Cookie Policy.
7. Analytics and Google Ads
This site is built to support Google Analytics 4, Google Tag Manager and Google Ads conversion tracking, and may advertise through Google Ads in Canada.
Where those services are active and you have consented, some data may be shared with Google and processed by Google as described in its own documentation. That can include an online identifier, the pages you viewed on this site, and — where you have allowed marketing cookies — information used for advertising measurement and ads personalization.
Further information from Google:
- How Google uses data from sites or apps that use Google services
- Google — business data responsibility and privacy information
If you decline analytics and marketing cookies, these tags do not load and no advertising or analytics identifier is set for you.
8. Google Consent Mode v2
We implement Google Consent Mode v2. Before you make a choice, every consent signal on this site defaults to denied:
ad_storage: deniedanalytics_storage: deniedad_user_data: deniedad_personalization: denied
When you make a choice, those signals are updated to granted or denied to match exactly what you selected. Choosing Accept all grants all four. Choosing Decline leaves all four denied. Choosing individual categories updates only the signals for those categories, as described in section 6.
We also enable ads_data_redaction while advertising consent is denied, and we re-apply your stored choice on every page you visit so that it is not quietly reset.
9. Who we share information with
We do not sell personal information, and we do not disclose it to third parties for their own marketing. We share it only as follows:
- Our hosting and email providers, which necessarily process the website and the mailbox your enquiry arrives in.
- Google, where you have consented to analytics or marketing cookies, as described in sections 7 and 8.
- Your own suppliers, where you have asked us to coordinate with your venue, caterer or AV supplier. This is normally your run sheet and a contact name, never guest information.
- Our crew, who receive the operational details needed to deliver your event and nothing beyond that.
- Professional advisers, insurers and authorities, where we are legally required to disclose or need to establish or defend a legal claim.
10. Transfers outside Canada
Some of the service providers described above, including Google, may process information on servers outside Canada. Where that happens, the information may be subject to the laws of the country in which it is held, including lawful access requests by authorities there.
PIPEDA permits such transfers provided the organisation remains accountable for the information and uses contractual or other means to provide a comparable level of protection. We rely on our providers’ data processing terms for that purpose, and we tell you here so the position is clear rather than buried.
11. How we protect it
- The site is served over HTTPS.
- The enquiry form is protected by a per-session security token, a hidden spam field and a submission-timing check.
- Form submissions are validated on the server, not only in the browser, and every value is escaped before it is used.
- Access to the enquiry mailbox is limited to the people who need it to answer you.
- We do not run a database of visitor information on this website.
No method of transmission or storage is completely secure. If a breach occurred that created a real risk of significant harm, we would report it as PIPEDA requires and notify the people affected.
12. Your rights
Under PIPEDA you may:
- Access the personal information we hold about you, and ask how it has been used and to whom it has been disclosed.
- Correct information that is inaccurate or incomplete.
- Withdraw consent, subject to legal and contractual limits.
- Ask us to delete information we no longer need for the purpose it was collected.
- Complain to us, and then to the Office of the Privacy Commissioner of Canada.
To make a request, email [email protected] with Privacy in the subject line, or write to us at 154 Kelsey Blvd, Churchill, MB R0B 0E0, Canada. We will respond within 30 days, and will tell you if we need to verify your identity first or if an exception applies.
There is no charge for a straightforward request.
13. Complaints
If you are unhappy with how we have handled your personal information, contact us first at [email protected] — most issues are resolved quickly at that stage.
If you remain dissatisfied, you can complain to the Office of the Privacy Commissioner of Canada, which oversees compliance with PIPEDA. Depending on your province, a provincial privacy commissioner may also have jurisdiction.
14. Age of visitors
Our events are strictly for adults aged 18+ and over, and this website is intended for adults. We do not market to minors, we do not knowingly collect personal information from anyone under 18+, and we do not depict minors in our imagery.
If you believe a person under 18+ has submitted information to us, email [email protected] and we will delete it.
15. Changes to this policy
We may update this policy as our practices or the law change. The date below reflects the current version. Where a change materially affects how we use information you have already given us, we will seek fresh consent rather than rely on the update alone.
